Usually, the end of the year is the perfect time to reflect on your achievements, set some new goals, and establish a roadmap for the coming months. But, if you’re trying to get your gears going in the new year (like me!) here is a guide to help you streamline your annual planning with the right tools and strategies you’ll need!
Why Annual Planning Even Matters
Annual planning goes deeper than just listing the goals you’ve set for yourself in the coming months, it’s creating a clearer vision and the actionable steps you will take to achieve your goals.
In the long term, annual planning is going to keep you focused, more proactive and ready for anything that might pop up during the year.

Reflect Before You Plan
Before you look forward, take some time to analyze the last year. Ask yourself what went well this year? What could have been done better? What goals did you achieve and how did you achieve them?
You can use a journaling or note-taking app like Evernote to jot these down and keep track of them. This step is important, it’s not just about celebrating your wins; but about looking for growth patterns and preparing to apply those in the future.
Set smart goals & assess
SMART goals—Specific, Measurable, Achievable, Relevant, and Time-bound—give your ambitions structure. For example, instead of saying, “I want to grow my business,” try, “I want to gain 20 new clients by Q3.”
Tools like Trello, Asana, or Notion can help you break these goals into actionable steps and timelines.
Bonus: they also make it easier to track progress. I personally use and adore Trello for this.
Use your calendar
Take advantage of your calendar! I use Google Calendar, but any calendar will work for this step! Map out your quarterly goals and pencil in weekly check-ins with yourself to review the progress you’re making and adjust the plan as needed.
Use this step to block off holidays and special events in advance so you’re not scrambling at the last second to adjust your hours.
prepare for the unexpected
Now is a good time to also make note of any potential roadblocks or challenges that may cause delays and think of potential solutions before problems arise. Give yourself some flexibility to handle these little surprises.
automate what you can
You would be surprised how much time you spend doing little tasks. Automate small things that you can! Whether it’s setting up an auto-responder on your social media profiles, or automating a welcome email to new newsletter subscribers – take some of the time out of your day with automation! Zapier is a wonderful program for this! There are also a plethora of category specific apps that will automate things like scheduling appointments and posting your social media content!
review, review, review
Keep yourself accountable and on track – check in weekly if you can. Monthly, at the very least. Anything less than that and you are going to be doing yourself a disservice.
If things don’t go to plan, don’t get down on yourself. Stay flexible and be ready to make some last minute changes. Altered goals aren’t the end of the world!

my favorite annual planning tools
Trello: This one of two massive tools I use each and every year to plan. I use it to visualize my planning. I map out each individual step and sub-steps that need to be done and their associated timelines. As a data-nerd, I LOVE Trello. Asana and Monday.com are some honorable mentions that do the same!
Google Workspace: (Mainly Calendar): What can I say? This is the real tracking workhorse of my business. I use this to mark my goal deadlines with reminders as well as keep track of all my appointments and special holidays.
Toggl: I use this to track the time I spend on certain projects and compare them back to previous times to analyze my productivity.
TidyCal: Put the power to schedule time with you in your customers hands – this allows your customers to schedule time to meet with you without having to contact you first!
Zapier: The king of automating tasks. Zapier allows you to automate repetitive tasks through connecting various apps and creating simple workflows. This saves immense amounts of time spent doing small things like sending notifications or updating spreadsheets. Honorable mention: If This, Then That: Great for very small automations!
Mailchimp / Convertkit / Keap: Manage your client relationships through tracking sales, customer engagement and monitor your leads and set sales goals. I primarily use these for my email newsletters – but they can do so much!
