Streamline Your Workflows with Systems

Running a small business can feel overwhelming, with endless tasks demanding your attention. The secret to managing it all without burning out? Systems. By creating effective systems, you can save time, reduce your stress, and focus on what truly matters: growing your business.

 

Here’s my tips for getting started:

Identify Your Repetitive Tasks

The easiest way to start is to begin identifying the tasks you perform regularly – these would be things like invoicing, responding to emails, posting on social media, or onboarding a new client. Recognizing these patterns is the first step to systemizing them.

Standardize Your Processes

We’ve identified the repetitive tasks you complete, great! Let’s move on to documentation! Document detailed step-by-step procedures for each and every task. The more detailed the better! This is going to help you execute them more quickly and also make it easier should you need to delegate them when your team grows.

Automate Where You Can

I know with AI making a splash in the world, automation can be scary for some. Embrace automation tools to help you handle the most time-consuming tasks on your list. Some suggestions are social media scheduling software, using email marketing platforms for email newsletters, or accounting tools for your invoicing. These automation tools don’t need to be scary or too niche. The ultimate goal is to free up your mental space and lower your stress levels!

Batch Similar Tasks

Instead of switching between tasks, think about beginning to batch similar ones together! Group your administrative tasks to a group and your financial tasks to another, etc.

Review and Optimize

Unfortunately, with technology changing, these systems won’t be set-it-and-forget-it systems. It’s important to schedule regular check ins to review your processes and make changes. What’s working well? What’s not going to plan? What needs to me improved?

Remember, streamlining your workflows with systems isn’t about adding complexity — it’s about creating simplicity. With the proper systems in place, you’ll find yourself spending less time on the busy work and more time on the bigger picture tasks for your business.

 

Start small, stay consistent, I promise you’ll see an increase in your productivity!

BONUS: Need some system inspiration? Here is my system for when I gain a new client using Zapier and it’s integration functionality.

 

After they are added and receive a tag in Mailchimp, automatically they’re sent an onboarding email from me, a shared Dropbox folder is created, they are subscribed to my newsletter, they are sent an email outlining how to use LastPass, and a board is created on Trello.

 

That entire laundry list of tasks is completed automatically for me – saving me over an hour of time for me to focus on client work!
